Facility Rental Includes

  • Exclusive use of the venue facilities from 12pm - 11pm. This includes set-up and clean-up. Events must end by 10pm due to county regulations.

  • Venue Management as primary contact prior to event and present during event, walk-through, and rehearsal time.

  • The venue is heated for winter gatherings and has air conditioning for the summer months.

  • Barn Includes:

    • 245 guest capacity

    • 17 round tables - 6'

    • 200 ceremony chairs

    • 200 cross-back reception chairs

    • Four (4) banquet tables - 8'

    • Two (2) round tables - 4'

    • 15 Bourbon/Wine barrels

    • Two private rooms with bathroom attached (can be used as bridal/groom suite)

    • Built-in bar

    • Ceremony site

    • Covered and heated patio

    • Portable PA System w/ wireless microphone

Visiting Woodlands

  • We love showing clients and potential clients around the venue. Please call to make an appointment to be sure the venue will be open and available. Guests are not authorized to visit Woodlands without an appointment. Please note that our personal residence is also on the property.

Parking and Shuttle Service

  • On-site parking is limited to 60 personal vehicles. A shuttle service or ride share to and from Woodlands is highly recomended for events with over 120 guests. You can arrange this service, or we can provide recommendations on services available in the area.

  • We want you and your guests to be safe. Leaving vehicles overnight is allowed: pickup must be before 10am next day.

Scheduling & Payment

Payment Schedule (During Construction Phase)

  • To reserve a date during the construction phase, a $500 non-refundable reservation payment is made which will be applied to the facility fee. Once construction is complete, payment will be made according to the “After Construction” Payment Schedule.

Payment Schedule (After Construction Phase)

  • Within 5-days of the time of booking, 50% of the facility fee.

  • At 6-months prior to event, 75% of total facility fee.

  • At 3-months prior to event, 100% of total facility fee.

Inclement Weather

  • Colorado is known for its year-round beautiful weather. If the weather isn’t exactly what you hoped for, Woodlands is prepared to make sure the venue still is. We can keep all of your guests dry and warm inside the barn or under the covered and heated patio. So, while we cannot cancel events due to inclement weather, we will do our best to make sure it is still a beautiful and memorable occasion.

Decorations

  • The Woodlands property and surrounding area are forested. For the protection of the land and our neighbors, we cannot allow fireworks or open flames of any kind on the property.

  • In order to keep our grounds clean and beautiful, we cannot allow rice, confetti, glitter, silly string, silk or fake flower petals, and other difficult to clean items. Birdseed, real flower petals, and bubbles are always allowed.

Event Planner

  • We require a professional and insured event planner for the day of your event. The event planner will ensure that all of your event details and timeline go smoothly. We want you and your guests to have a wonderful time at Woodlands and an event planner on the day of your event will be a valuable resource.

Rental Equipment

  • Event Rents is our exclusive provider of all rental items (including china, glassware, flatware, and linens). All equipment rentals must be rented from Event Rents. If Event Rents is unable to provide a specific item that you request, you may rent from another supplier.

Food

  • We offer a preferred vendor list for catering, but do not require the use of these companies. We allow catering companies not on the preferred list, but we do require an insured catering company that can be available to tour and orient at Woodlands at least 14-days prior to your event. All food must be provided by a catering company which possess a valid Colorado Retail Food License.

  • We also allow food trucks and other creative catering options but do require a minimum of 2 servers per 100 guests to ensure that food service is kept organized, clean, and tidy throughout the event.

  • Full-service catering or serving services are required for all events. This is to ensure that all setup and cleanup is taken care of.

  • Catering and serving companies are required to set up all tables and chairs prior to the event and must restack them at the conclusion. All trash must be hauled off site at the conclusion of the event.

Alcohol

  • Woodlands does not have a liquor license. We have partnered with Peak Beverage and Cocktail Caravan to provide you with great options for bar service at your event. You must use one of these two companies for all alcohol consumed on the property. They provide TIPS trained bartenders and will make sure that your guests have an enjoyable and safe experience.

  • Home brews can also be served at your event. Please contact Peak Beverage or Cocktail Caravan to discuss the details on how they can accommodate your request.

Insurance

  • We require that you obtain day-of event insurance prior to your event. There are many affordable plans available which can be found through an internet search and typically run from $125 - $200.

Noise limits

  • In order to keep the outdoors peaceful and respect our neighbors, we request that all amplified music be kept inside the barn.

Pets

  • We love pets and are happy to discuss including yours as part of the event. Any animals brought onto the property will need prior approval.

All-Inclusive Option

  • We have partnered with some of the best wedding vendors in the area for an all-inclusive vendor wedding option for our couples. These vendors are offering heavily discounted rates as part of this package. Please inquire if interested.

  • The all-inclusive package is just an option and is not required to be used as part of the venue rental.
